Terms of Service

1. Who these terms apply to

These terms form a contract between REMI SOFTWARE LTD ("Remi", "we", "us") and the letting agency or organisation ("you", "the Account") that registers for the Remi platform. By creating an Account, you agree to these terms on behalf of your organisation.

2. The service

Remi provides a property maintenance management platform, including tenant request submission, AI-assisted classification and routing, contractor assignment, staff alerts, and a tracking dashboard. The applicable displayed tier is calculated automatically from the number of actively managed properties on the billing date.

3. Accounts and plans

  • Each Account is independent; data is not shared between Accounts except where Remi staff access is required for support or platform administration (see our Privacy Policy).
  • All plans include unlimited staff users and do not restrict property creation, maintenance requests, features, or staff access. Billing is calculated from actively managed properties only: let-only, archived, prospective, deleted, and ended-management properties are excluded.
  • You are responsible for the accuracy of the information you provide and for maintaining the security of your account login credentials.
  • You may not share login credentials between staff members.

4. Fees and billing

  • Fees are monthly and rolling, exclude VAT where applicable, and are billed in advance. Billing starts on the agreed service activation date, production access date, or another date in the order form; it does not start when the first property is added. Before activation the charge is £0. Once activated, the minimum monthly charge is £149 even with no actively managed properties.
  • The monthly billing-date snapshot determines that month's charge; there is no mid-cycle proration. Standard billing is the lowest applicable result of Starter (£149 including 100 properties), Growth (£349 including 250 properties), and Portfolio (£699 including 600 properties). Plans include a managed-property allowance. Above it, additional managed properties are £1.50 each per month, and your price moves to the better-value plan automatically when that works out cheaper. Your bill never exceeds the next plan's price.
  • Payments are processed by Stripe. Remi does not store your card details.
  • If a payment fails, we will notify you. Continued failure to pay may result in suspension of your Account.
  • Enterprise: Custom pricing for portfolios approaching 900 properties, or agencies needing bespoke commercial, integration or support arrangements. Enterprise pricing is set out in a separate order form or agreement, which takes precedence over the default pricing here in the event of conflict.
  • Fees are non-refundable except where required by law.

5. Founding Agency Programme

Founding agencies pay at least 20% below standard pricing, permanently — and never more than £199 for up to 200 properties. The lower calculation applies automatically.

There are 15 Founding Agency places. A place is provisional during the initial three-month term and earned after that term. A valid early termination, non-payment, failure to complete onboarding, or mutual agreement may release a provisional place. An earned place remains consumed even if the agency later cancels, and a voluntary cancellation ends the pricing entitlement when the subscription ends.

During the first 12 months, programme participants agree to quarterly feedback sessions, one approved case study, and up to two reference calls. If those obligations are unmet, we will give written notice and a reasonable remedy period before any move to standard pricing from a future billing date; we do not make retrospective charges. A failed payment does not end entitlement if all outstanding sums are paid within 60 days of the original due date, unless the entitlement is otherwise overridden in writing.

6. Your data and data protection

  • As between you and Remi, you (the Agency) are the data controller for any tenant, property, and contractor data you upload or that is submitted through Remi on your behalf. Remi acts as your data processor for this data.
  • You are responsible for ensuring you have a lawful basis to collect and share this data with us, and for responding to data subject requests from your tenants (with our reasonable support).
  • Our Data Processing Agreement is incorporated into these terms by reference and applies when you create an Account. We will process this data only in accordance with your documented instructions and that agreement.

7. Acceptable use

You agree not to:

  • Use Remi for any unlawful purpose or in breach of applicable data protection law
  • Attempt to access another Account's data
  • Reverse engineer, resell, or white-label the platform without our written agreement
  • Upload data you do not have the right or lawful basis to share
  • Use the platform in a way that disrupts its operation or security

We may suspend or terminate access if we reasonably believe these terms have been breached.

8. AI-assisted features

Triage classifications, urgency scores, recommended trades, and compliance observations are automated decision support only. They are not professional, legal, or surveying advice, and Remi does not determine legal liability. Automated assessment. Review before acting — you remain responsible for your statutory repair obligations. You remain solely responsible for reviewing the output and meeting your statutory obligations, including those that may arise under the Landlord and Tenant Act 1985, the Homes (Fitness for Human Habitation) Act 2018, and the Renters' Rights Act 2025. We give no warranty that any AI output is accurate or complete for a particular report.

9. Availability and support

  • We aim to keep the platform available but do not guarantee uninterrupted access. We will use reasonable efforts to notify you of planned maintenance in advance.
  • Support is provided via hello@remi.properties.

10. Intellectual property

Remi and its underlying software, design, and branding remain our property. You retain ownership of the data you upload. We are granted a licence to process that data solely to provide the service to you.

11. Liability

  • Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be limited or excluded under the Unfair Contract Terms Act 1977 or otherwise.
  • Subject to the above, our total liability to you arising out of or in connection with these terms is limited to the greater of (a) the fees paid by you in the 12 months preceding the claim and (b) £5,000.
  • To the extent permitted by law, we are not liable for indirect or consequential loss, including loss of profit, loss of data (beyond our own backup obligations), or reputational harm.

12. Term and termination

  • These terms apply for as long as you maintain an active Account.
  • You may cancel at any time; cancellation takes effect at the end of your current monthly billing period.
  • We may terminate or suspend your Account for material breach of these terms, non-payment, or if required by law, with notice where reasonably possible.
  • On termination, deletion and return of data are handled in accordance with our Privacy Policy and Data Processing Agreement.

13. Changes to these terms

We may update these terms from time to time. We will notify Account holders of material changes by email in advance of them taking effect.

14. Governing law

These terms are governed by the laws of England and Wales, and any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
